1. The Short Version
We collect what we need to run a private local business network — your business info, your contact details, the activity inside your Circle, and (if you connect it) your Google Business Profile rating. We don't sell your data. We share it only with service providers we use to run the platform (payments, SMS, email, hosting, Google APIs). You can edit your data, export it, or delete your account anytime from your dashboard.
2. What We Collect
Information you give us
- Business profile: business name, service category, description, address & town, phone, email, website, Facebook page URL, profile image, cover image
- Account credentials: email, phone, and a hashed password (we never store your plaintext password)
- Payment details: processed and stored by Stripe — we receive the customer ID, subscription ID, last 4 digits, and brand of your card, but never the full card number or CVV
- Promotions you create: title, description, discount text, expiration
Information we collect automatically
- Location signals from Google Places: when you select a town, we store the town's
google_place_id, latitude/longitude, county, and state - Activity inside your Circle: Boost Requests you post, who responded, and when
- Verified interactions between members: records of mutually-confirmed Boost Request completions, cross-platform referral attributions, and similar trust-establishing events that unlock rating eligibility under Section 9A of the Terms
- Star ratings you submit and receive: the numeric star value, optional sub-category numerics (service quality, communication, timeliness, professionalism), the "would recommend" indicator, and the verified-interaction record that backs the rating. PriceFair does not collect or store written review text in connection with Circle ratings.
- Community voting and concern motions: when you back a Circle Feed post (pin, save-to-Resources, tag proposal) or back a Section 4.4 concern motion, we store your individual back, your identity as the backer, and the time. When you propose a concern motion or are the targeted member of one, we store the motion record (proposer's identity, targeted member's identity, written reason, status, opened/closed timestamps). See Section 9 below for who sees what and when.
- Founding Member succession waitlist position: the order in which you joined your Circle, your current opt-in/opt-out status, and any history of accepting or declining offered Founding Member status
- Profile views: we count how many times your public profile page is viewed and the referring page (we do not store the visitor's identity)
- Standard request metadata: IP address, user-agent, and timing data, used for security, abuse prevention, and basic analytics
Optional Google Business Profile data
- If you connect Google Business Profile, we store: your account ID, the location ID you selected, your aggregate star rating, your review count, and the timestamp of the last sync
- We do not store individual reviews, customer messages, or any other GMB data
3. How We Use It
We use your data to:
- Run your account and your Circle membership
- Process the $20/month subscription via Stripe
- Send transactional notifications (Boost Requests, payment alerts, waitlist openings, account events) by SMS and email
- Render your public profile page and the directory pages of your town, state, and category
- Match waitlisted businesses to slots when those slots open
- Detect and prevent fraud, abuse, and impersonation
- Improve the platform and debug issues
- Comply with legal obligations
We do not sell your personal data. We do not use your data to train third-party advertising models.
4. Third Parties Who See Your Data
To run the service we share specific data with the following providers, each only with what they need to do their job:
- Stripe — payment processing. Stripe Privacy Policy
- Twilio — SMS delivery (verification codes, Boost notifications, alerts). Twilio Privacy Policy
- Resend — email delivery. Resend Privacy Policy
- Google — Places API (town autocomplete) and Business Profile API (rating sync). Google Privacy Policy
- Cloudflare — hosting, CDN, edge compute, and infrastructure analytics. Cloudflare Privacy Policy
We may also disclose data when required by law, valid legal process, or to protect the rights, property, or safety of PriceFair, our members, or the public.
If PriceFair is ever acquired, merged, or goes through an asset sale, your data may be transferred to the acquiring entity. We will notify you and give you the opportunity to delete your account before any such transfer becomes effective.
5. Your Rights & Choices
- Access: request a copy of your data by emailing support@pricefair.com
- Correction: edit your business profile, contact details, password, and notification preferences anytime from your dashboard, or email support for help
- Deletion: delete your account from Dashboard → Settings → Delete Account. Your slot is released, your public profile is removed, and your provider record is anonymized within 30 days. Some records (see Section 6) are retained.
- SMS opt-out: reply STOP to any text message, or toggle SMS off in Dashboard → Settings → Notifications
- Email opt-out: click the unsubscribe link in any email, or toggle email off in Dashboard → Settings → Notifications. Critical account & billing emails will still be sent.
- Disconnect Google: from Dashboard → Settings → Google Business Profile, which clears all Google-derived data
6. Data Retention
- Active members: we retain your data for the duration of your membership.
- Deleted accounts: within 30 days of deletion we anonymize your provider record (we keep the row to preserve historical activity links — Boost Requests, ratings, audit trail — but strip your name, contact details, profile content, and images).
- Payment records: Stripe and PriceFair retain transaction and invoice records for as long as required by tax, accounting, and anti-fraud laws (typically up to 7 years).
- Waitlist records: retained indefinitely. See Section 7.
- Star ratings and verified-interaction records: retained for the lifetime of the rated account. Ratings persist as a structural element of the platform's reputation system and continue to display under Section 9A of the Terms; deletion of an individual rating is at PriceFair's discretion under Section 9A.7.
- Community votes (Back actions) and concern motions: retained indefinitely as part of the audit trail required to enforce Section 4 of the Terms (cooling-off windows, removal history, billing-transition history). Individual backs are aggregated to other Circle members during a motion's open period and become visible per-member after the motion closes; see Section 9 below for the full visibility model.
- Founding Member succession waitlist: retained for the lifetime of your membership in the affected Circle, plus a reasonable archival period to preserve the historical succession order for audit purposes.
- Server logs: raw request logs are retained for up to 30 days for debugging and abuse prevention.
- Backups: automated database backups are retained for up to 35 days.
7. Why Waitlist Records Are Kept
When you join a waitlist, we keep that record indefinitely — even after you've been notified, claimed a spot, declined, or let your notification expire. We rely on this retention as a legitimate business interest: maintaining a queue of pre-qualified businesses by town and category is essential to operating a slot-based marketplace, to fairly allocating openings as they occur, and to expanding PriceFair beyond the single-slot-per-category model — and waitlisted businesses will get priority access to those expansions. By joining a waitlist, you expressly consent to this retention as a condition of receiving priority placement, and you acknowledge that your contact details will be retained for these purposes for as long as the legitimate interest remains. We periodically review whether the legitimate interest still applies and will narrow or delete records that are no longer needed. You can still ask us to delete your waitlist record by emailing support@pricefair.com; we will honor that request, and you will lose your priority position.
8. Google API Data & Limited Use
If you choose to connect your Google Business Profile, PriceFair accesses Google data through the Google Business Profile API and the Google Places API. PriceFair's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, PriceFair:
- Uses Google API data only to display your aggregate Google star rating and review count on your PriceFair profile and in our directory pages, and to autocomplete town selection during signup;
- Does not transfer Google API data to third parties except as necessary to provide or improve user-facing features that are prominent in the user interface, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to users;
- Does not use Google API data for serving advertisements, including retargeted, personalized, or interest-based advertising;
- Does not allow humans to read Google API data unless we have your affirmative consent for specific data, it is necessary for security purposes (e.g., investigating abuse), to comply with applicable law, or the data is aggregated and used for internal operations in accordance with applicable privacy laws.
You can revoke PriceFair's access to your Google data at any time by disconnecting in Dashboard → Settings → Google Business Profile, or directly at the Google Account permissions page. Disconnecting clears all Google-derived data from your PriceFair profile.
9. Circle Visibility Model & Operator Access
PriceFair Circles are private peer networks. This Section 9 describes who can see what, including the limited technical access available to PriceFair operators and the visibility model for community votes and concern motions.
9.1 No platform "admin" tier with elevated content visibility
PriceFair does not operate a platform-administrator tier with elevated content access. There is no role within the product (Founding Member or otherwise) that grants any member visibility into another Circle's posts, replies, ratings, votes, or concerns beyond what the in-product interface shows to every active member of that Circle.
Platform operators (the small team — currently a single founder/operator — who runs PriceFair) have technical access to the underlying database, server logs, and infrastructure dashboards, as is necessary to operate, debug, secure, and bill the service. Operator access is for system maintenance, abuse prevention, payment-fraud detection, security incident response, and legal compliance only. Operators do not moderate content, do not adjudicate community votes, and do not exercise editorial judgment over Circle activity. Where the law or these Terms require an operator-level action (for example, removing illegal content, responding to a subpoena, or blocking a fraudulent payment), we will take it; we will not take operator action to override a community vote.
9.2 What is visible inside a Circle
- Circle Feed posts and replies (Boost Requests, Discussions, Intel, Wins): visible to all active members of the same Circle. Not visible outside the Circle.
- Profile information (business name, category, photo, town, phone shown to Circle members, public profile URL): visible to all members of the Circle, and to the public via the public profile page in accordance with each member's profile settings.
- Backing actions on posts (community pins, save-to-Resources, tag proposals): the aggregate count of backs is visible to every active member; the identities of recent backers are surfaced in a "Backed by ___ +N" line for transparency. The full per-post-per-member backing matrix is not exposed as a queryable index (i.e., no "show me everything Member X backed").
- Star ratings: aggregate star averages display on each member's profile after the quorum-hide threshold in Section 9A.3 of the Terms is met. Individual rater identities are recorded in our database (necessary for the verified-interaction trail) but are not surfaced in the public rating display.
9.3 What is visible during a concern motion (Section 4.4 of the Terms)
- The motion itself (proposer's identity, targeted member's identity, written reason, status, time remaining, current backs count, threshold target): visible to all active members of the same Circle from the moment the motion is opened.
- Targeted member's notification: the targeted member is privately notified by SMS and (where on file) email immediately upon motion creation. The targeted member receives the same identity and reason information that other Circle members see, plus a direct link to the motion thread.
- Replies in the motion thread: visible to all active members of the same Circle. Both the targeted member and the proposer can post replies; replies are attributed to their author by name.
- Individual backs during an open motion: visible only as an aggregate count (e.g., "12 of 18 backs needed"). The identities of individual backers are not surfaced in the motion UI while the motion is open. This is a deliberate design choice to reduce in-the-moment social pressure between members during a live vote.
- Individual backs after motion closes: once a motion closes (passes, expires, or is withdrawn), the per-member backing record becomes visible to active members of the Circle as part of the audit trail. This visibility is necessary for transparency about how the community decided.
- Operator visibility: PriceFair operators can see the same data shown in the in-product interface, plus the underlying database records, for the purposes described in Section 9.1.
9.4 Visibility of removal outcomes
- If a motion passes, the removed member's name and the date of removal are recorded in Circle history (visible to active members) for thirty (30) days, then anonymized. The motion record itself (proposer, reason, vote tallies) is retained as described in Section 6.
- The targeted member's public profile is taken offline upon removal as described in Section 4.4 of the Terms.
- Removal under Section 4.4 is not reported on the targeted member's profile in any other Circle they belong to. Removal is local to the affected Circle and is not surfaced as platform-wide reputation data.
10. California Residents (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act (as amended by the CPRA) gives you the rights described below. These rights are in addition to the rights described in Section 5 above.
- Right to know. You have the right to request the categories and specific pieces of personal information we have collected about you, the categories of sources, the business or commercial purpose for collecting it, and the categories of third parties with whom we share it. The categories are set out in Section 2 (What We Collect) and Section 4 (Third Parties).
- Right to delete. You have the right to request deletion of personal information we have collected from you, subject to certain exceptions (for example, information necessary to complete a transaction, comply with a legal obligation, or — in the case of waitlist records — pursue a legitimate business interest you consented to under Section 7).
- Right to correct. You have the right to request correction of inaccurate personal information.
- Right to opt out of "sale" or "sharing." PriceFair does not sell or share your personal information for cross-context behavioral advertising, and we have not done so in the preceding 12 months. There is nothing to opt out of, but you can confirm this status by contacting us.
- Right to limit use of sensitive personal information. We do not use sensitive personal information for any purpose beyond what is necessary to provide the service you requested.
- Right to non-discrimination. We will not discriminate against you for exercising any of these rights.
To exercise any of these rights, email support@pricefair.com with the subject line "California Privacy Request" and include enough information for us to verify your identity (typically the email and phone number on your PriceFair account). You may also designate an authorized agent to make a request on your behalf with appropriate written authorization. We will respond within the timelines required by California law.
11. Security
We protect your data with industry-standard technical safeguards: TLS in transit, encryption at rest where the underlying provider supports it, password hashing with PBKDF2, scoped API tokens for service integrations, and least-privilege access for the small team that operates the service. No system is perfectly secure; if we detect a breach affecting your data, we will notify you and the appropriate authorities as required by law.
12. Children's Privacy
PriceFair is intended for business owners and is not directed at children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has created an account, email support@pricefair.com and we will delete the account and any associated data.
13. International Users
PriceFair is operated from the United States and our infrastructure runs on Cloudflare's global edge network. If you access the service from outside the U.S., your data will be processed in the U.S. and other countries where our service providers operate. By using the service, you consent to that processing.
14. Changes to This Policy
We may update this Privacy Policy from time to time. If we make a material change, we'll notify you at least 14 days before the change takes effect by email to the address on your account, by posting a notice on the site or in your dashboard, by SMS to the number on your account, or by any other method reasonably designed to reach you, and we'll update the "Last updated" date at the top of this page. If a change is required to comply with law or to protect the security of the service, we may make it effective immediately.
